Overview
As you begin scheduling work orders, there will be times when you may need to reschedule that work order. It happens. Customers can't make an appointment, maybe your schedule got overbooked, or an emergency came up and a technician can't make it. Whatever the case, that work order needs to be rescheduled. This article will go over the different ways you can reschedule an existing work order.
From the Dispatch Board
A fast and easy way to reschedule a work order is right from the dispatch board. There are two ways to handle rescheduling a work order when you're on the dispatch board. Follow the steps below to learn how to reschedule a work order from the dispatch board.
The first way to reschedule a work order is by dragging and dropping a work order to a new technician. This method is typically used to easily reschedule a work order when looking at the shift, full-day, or week view of the dispatch board.
1. First, navigate to the dispatch board by clicking on Dispatching from the left-side menu.
2. Next, locate the work order that has been scheduled.
3. Left-click and hold your mouse cursor on the work order and drag it to the desired technician and time you'd like to reschedule this work order.
4. Repeat these steps for any additional work orders you may need to reschedule.
- Note: If this work order has multiple technicians or days scheduled, a window will appear asking if you would like to reassign/reschedule the work order or if you would like to add an additional assignment. Select reassign/reschedule for this scenario.
Another way to reschedule a work order from the dispatch board is by placing it back into the unassigned column and rescheduling the work order to another technician from that unassigned column. This method is typically used when you're not sure which technician you'll reschedule the work order to, but you want to get it off the current technician's schedule, allowing you to come back and reschedule it at a later time.
1. First, navigate to the dispatch board by clicking on Dispatching from the left-side menu.
2. Next, locate the work order that has been scheduled.
3. Now, left-click and hold your mouse cursor on the work order and drag it down, off of the schedule.
4. When you release the left mouse button a window will appear asking if you would like to unassign the work order. Click Yes and you will see the work order move to the unassigned column.
5. When you're ready to schedule the work order to a new technician, left-click and hold your mouse cursor on the work order in the unassigned column and drag it to the desired technician and time you'd like to reschedule this work order.
6. Repeat these steps for any additional work orders you may need to reschedule.
From a Work Order
Another way of rescheduling a work order is done from the work order page. From here you can set a new promised appointment time or schedule the work order. Follow the steps below to learn the multiple ways of rescheduling a work order from the work order page.
Promised Appointment Time
When looking at a work order you'll see if it has a promised appointment time. If there is a promised appointment time already selected, clicking on the time will navigate you to the dispatch board and highlight the promised time. This allows you to then schedule the work order. Follow the steps below to perform this type of scheduling.
1. Navigate to the desired work order.
2. Under the Promised Appointment section, click the Promised Appointment time. This will navigate you to the dispatch board and highlight the promised time.
3. Now, left-click and hold your mouse cursor on the work order in the unassigned column and drag it to the desired technician and time you'd like to reschedule this work order.
4. Repeat these steps for any additional work orders you may need to reschedule.
Primary Assignment
If a work order does not have a promised appointment time or you want to assign a new promised appointment time, you can do so through the Primary Assignment section. Choosing schedule will allow you to choose a promised appointment time and then schedule that work order when you see fit. Follow the steps below to schedule or reschedule a promised appointment time.
1. First, navigate to the desired work order.
2. Next, Under the Primary Assignment section, click Schedule.
3. A schedule work order window will appear, showing available timeslots for this work order. Click the newly desired promised appointment time and choose Book for Later.
- Note: Clicking book for later will update the promised appointment time. Choosing schedule now will navigate you to the dispatch board where you can immediately schedule this work order to a technician.
4. Once the new promised appointment time has been selected you can schedule the work order when you are ready, using any of the methods listed in this article.
5. Repeat these steps for any additional work orders you may need to reschedule.
