How to ensure Invoices are reviewed and posted to Quickbooks

An important part of communication between FieldEdge and Quickbooks is verifying that all of your financials are reviewed and posted to Quickbooks. This can be accomplished using the Work Order list and Invoice list. It's important to note that there will be overlap between these two lists. Therefore, we recommend you start with the Work Order list first.

Work Order list

The first report is the Work Order list, filtered by Completed Work Orders. This list will show us all Work Orders that have been entered in to FieldEdge with a Completed Status but still need to be Finalized and Posted to QuickBooks.

In a perfect world, this report should display a low number of results. If this list returns a higher number of results you may need to adjust your workflow to review this list more frequently.
Below you will see how to filter the Work Order list to display this information.

1. To navigate to the list, from the left side of FieldEdge, click on Work Orders.

2. Next, in the top right of the list, choose the Completed filter.

3. Then, also in the top right of the screen, click Last 15 Days and set this to filter to All.

4. Selecting this filter will display all Work Orders that have been Completed but have not been sent to QuickBooks.

5. With this information, our next step is to remove a Work Order off of the Completed list. Select a Work Order, make any necessary changes, click Save, and choose Finalize and Post to QuickBooks.

In QuickBooks you will now see any associated financial information from the Work Order. Repeat these steps until you have reviewed all of your Completed Work Orders.

Once satisfied the only remaining information to review will be your stand-alone Invoices (Invoice Only). For example, Invoices that have been created in the office and not apart of a Work Order. See the Invoice list steps below for more information on how to identify and send these Invoices to QuickBooks.

Invoice list

The second report to view is the Invoice list, filtered by Pending Invoices. This list will show us all Invoices that have been entered in to FieldEdge but still need to be Finalized and Posted to QuickBooks.

1. To navigate to the list, from the left side of FieldEdge, click on Invoices.

2. Next, in the top right of the list, choose the Pending filter.

3. Selecting this filter will display all Invoices that have not been sent to QuickBooks.

4. With this information, our next step is to remove a Invoice off of the Pending list. Select an Invoice, make any necessary changes, click Save, and choose Finalize and Post to QuickBooks.

In QuickBooks you will now see any associated financial information from the Invoice. Repeat these steps until you have reviewed all of your Pending Invoices.
